How workflows work

Pick something that happens, pick a message to send, and Oteev does the rest.

A workflow is one trigger and one action. Build them under Workflows, and attach them to particular services from the Workflows tab in the service editor.

Triggers

  • Before a service starts, or after it ends. These take a delay in minutes, hours or days, which is how reminders are built.
  • A new booking is created.
  • A service is cancelled, or rescheduled.
  • A payment is received.
  • An invoice is sent.
  • A quote is sent, or accepted.

Actions

  • Email the host, meaning you or the assigned team member.
  • Email the attendee.
  • SMS the attendee.
  • WhatsApp the attendee.

Start from a template, custom, reminder, rating request, confirmation or cancellation, then edit the wording. Drop in message variables so each message reads as if you wrote it for that person.

Timed messages are queued in advance rather than checked for constantly. If the booking behind one is cancelled or moved, the pending message goes with it, so nobody is reminded about an appointment that is no longer happening.

Good to knowMarketing messages only go to customers who have given marketing consent. Reminders about a booking someone actually made are not marketing and are not affected.
